Job Description

We are looking for an experienced, part time (approximately 30 hours /week) medical secretary to work for an Obstetrician and Gynaecologist specialist based at the Bays Consulting suites in Mornington. The role would fulfil the practice manager role.

We are looking for well groomed, confident, reliable individual with minimum of 3 years as a medical secretary. Knowledge of obstetrics and gynaecology would be beneficial. Ability to organise theatre lists, assistant surgeons, Anaesthetists and Paediatricians is desirable, including in an emergency. Strong communication skills, empathy and customer care focus are of extreme importance to our clinic.

This role is ideal for someone who is ready to take that next step into a senior position and who can commit to the clinic on an ongoing basis.

Key Responsibilities as a medical secretary
• Welcome patients
• Booking theatre lists – theatre liaison, organising Anaesthetic cover, assistant surgeons, +/- paediatrician
• Organisation of office staff
• Ordering and stock take of medical supplies
Instrument cleaning
• Typing of urgent documents
• Medical reception
• Billing of private health funds
• Processing of Medicare/ bulk billing payments
• Collect & enter patient details
• Schedule appointments / arranging meetings
• Answer telephone call & enquiries and use of telephone systems
• Administration support
• Marketing
• Organisation of the specialists timetable

Key Criteria required
• Must be available to work a rotating roster between the hours of 8am and 4pm Monday to Friday with some flexibility
• Exceptional customer service skills
• Professional & personable- high standards of presentation
• Adhere to strict confidentiality requirements
• Proficient computer skills
• Knowledge of Genie software helpful
• Demonstrated initiative & time-management
• Ability multi-task and prioritise in a busy environment
• Positive Attitude

Key responsibilities as a Practice Manger:
• Over-seeing daily operations at the practice
• Analysing the efficiency and effectiveness of administration procedures
• Recording and maintaining all clinic and staff statistics
• Providing outstanding customer service & managing patient retention
• Involvement in marketing and business development activities with a focus on building strong relationships with both clients and local businesses
• Lead, manage, and inspire the reception team
• Diary management including rostering administration staff
• Processing payments ( EFTPOS) and banking
